The Academic Administration Coordinator (Daily Organiser) is a unique dual-path role that may be appointed as either a Teaching Staff member (with a tenured POR) or as a Professional Services Staff (non-teaching) member, depending on the qualifications and background of the successful applicant.
If appointed as a Professional Services Staff member, the role will be full-time, operating on a term-time only basis.
 

About the Role

The Academic Administration Coordinator is responsible for efficient and effective coordination of relief staff from Year 7 to Year 12. The Academic Administration Coordinator plays a significant role in ensuring the smooth operation of the School through the allocation of teachers to classes on a daily basis to cover teachers that are absent. In addition, they support the Head of Academic Administration with the ongoing management of the School’s academic structures including timetables, rosters and schedules relating to day-to-day school academic operations, yard duty and key events.

Key Responsibilities include:

  • Support the recruitment, selection and onboarding of Temporary Relief Teachers (TRT) staff, ensuring appropriate documentation, including but not limited to, current teachers registration details and First Aid certification, is provided and appropriately recorded and stored on the School’s Synergetic database.
  • Ensure TRT staff are inducted and provided with location of rooms and School procedures, including but not limited to, logging onto the network, daily timetable and yard duty responsibilities.
  • Maintain the TRT Information Handbook to ensure currency and applicability. 
  • Complete pay authorisations for TRT staff and forward this documentation to the Finance Office in line with fortnightly casual staff payroll timetable.
  • Identify and communicate TRT staffing requirements in relation to subject teachers to the Deputy Principal and Heads of Department. 
  • Communicate the daily relief schedule to staff members involved via email, and other means, as appropriate.
  • Ensure an efficient system is in place to appropriately and adequately cover teaching staff for all planned and unplanned absences within parameters outlined in school policy and TRT budget parameters. 
  • Receive and maintain accurate records of staff absences and relieving teachers ensuring that academic classes, pastoral care responsibilities and yard duties are covered.
  • Arrange cover of reliefs using both internal and external staff, using professional judgement to ensure a fair and equitable approach is maintained, classes and other School activities are covered with an appropriate level of expertise and with consideration of staff loads.
  • Answer any queries or concerns regarding relief allocation and escalate to the Deputy Principal, as required.
  • Provide the administrative support to the Deputy Principal in their assessment of the suitability of prospective TRT staff.
  • Support the Head of Academic Administration in the allocation of yard duties for ELC – Year 12 teaching staff, examination and NAPLAN testing schedules, and any other supervisory duties.
  • Assist with regular reporting on staff teaching loads and lesson and campus distribution

 

About You

Applications are encouraged from both experienced educators and professional administrative staff with school operations experience.

Due to the unique nature of considering teaching and non-teaching candidates for this role, each application will be considered within the nature of their experience.
 

You will bring:

  • Experience in an Academic Administration and/or Daily Organiser role within a School environment is essential.
  • Demonstrated knowledge of rostering / timetabling skills.  
  • Experience using timetabling and / or rostering software. 
  • Current registration as a Teacher with the Teaching Registration Board of South Australia (if teaching). 
  • An aptitude for and the capacity to utilise various Information Technology and software programmes including but not limited to the Microsoft Office Suite.
