Terms and Conditions of Application

In this Statement, “Pembroke”, “we”, “our” or “us” refers to Pembroke School Inc. and its related entities. “You” or “your” refers to the individual applicant.

Please read the following carefully before submitting your application.


Purpose of Collection

The personal information you provide during your application is collected for the primary purpose of assessing your suitability for employment at Pembroke School. This includes progressing your application through various stages of our recruitment process.

If you are successful, your information will be used to administer your employment. If your application is unsuccessful, your information may be retained for the purpose of considering you for future opportunities unless you request otherwise.


Information We Collect

We may collect personal and sensitive information about you, including, but not limited to:

  • Name, address, and contact details
  • Resume and cover letter
  • Employment history and qualifications
  • Education background
  • Professional registrations and clearances (e.g. Working with Children Check)
  • Referee details and references
  • Visa and/or passport details (if applicable)
  • Criminal history and police clearance results
  • Medical questionnaires or other information relevant to the role

How Information is Collected

We collect your information through our online recruitment portal, as well as via interviews, email communications, and relevant documents you provide. We also collect information from third parties such as referees or previous employers.


Use and Disclosure of Information

Your personal information will be used solely for recruitment-related purposes and, where necessary, may be disclosed to:

  • The Principal and/or the Deputy Principal (including their respective Executive Assistants)
  • Relevant members of the interview panel
  • Staff within the Payroll and People and Culture teams
  • Referees or previous employers
  • Background screening providers
  • Legal and regulatory authorities (e.g. for compliance with child protection laws)
  • Third-party service providers engaged to support the recruitment process

We will not disclose your information to any third party for unrelated purposes without your consent, unless required or authorised by law.


Storage and Security

Your application data is stored securely on third-party systems used by Pembroke School (ELMO Cloud HR and Payroll Software), which complies with ISO 27001:2022 standards. Access to this information is restricted to authorised personnel and managed in accordance with our Privacy Policy.

We take appropriate and thorough steps to protect your information from misuse, loss, unauthorised access, or disclosure.


Access, Updates and Retention

You may update or correct your personal information through your candidate profile or by contacting us directly. Unsuccessful application data may be retained for a reasonable period unless you request its deletion by contacting People and Culture via email at: hr@pembroke.sa.edu.au
