Pembroke School is seeking an organised, proactive and service-focused Building and Grounds Administrator to support the smooth running of our busy, high-performing facilities environment. About the Role
The Building and Grounds Administrator provides high-level administrative, organisational and systems support across all aspects of the School’s maintenance and property operations. As the first point of contact for visitors, trades and internal stakeholders, the role ensures all interactions are managed professionally while supporting accurate record keeping, compliance processes, and facility management systems.
A major focus of this role will be supporting the continued development and implementation of our Facility Management System (FMS). As the School expands its digital capability, we are looking for someone who can confidently manage data, workflows and system inputs, and contribute to building efficient, reliable and contemporary operational platforms.
Key Responsibilities Include:
- Coordinating contractor access, documentation and compliance.
- Supporting the development, use and ongoing maintenance of the FMS and other asset systems.
- Maintaining departmental registers, schedules, SOPs and handbooks.
- Providing administrative support, including correspondence, data entry, and maintenance scheduling.
- Liaising with staff and external stakeholders regarding works, updates and safety requirements.
- Contributing to the continual improvement of processes, systems and administrative practices.
About You
You are highly organised, calm under pressure and confident working in a dynamic operational environment. You enjoy working with systems and data, and you bring strong digital capability that will support the School as we advance our Facility Management System (FMS) and related platforms. You build strong relationships, communicate clearly, and take pride in delivering accurate, reliable and service-driven administrative support.
You will bring:
- Experience in administrative coordination, ideally in facilities, building services or operations.
- Confidence working with digital systems, with experience in FMS, asset management or database platforms will be advantageous.
- Strong technical skills, including proficiency in Microsoft Office and the ability to learn new systems quickly.
- Excellent organisational and workflow management capabilities.
- Strong communication and interpersonal abilities, with a focus on stakeholder service.
- High attention to detail and disciplined record keeping.
- Initiative, adaptability and the ability to work independently and as part of a team.
